Executive Summary
Equinox, the global luxury fitness brand, needed a dedicated platform to launch Equinox Explore, a new offering covering curated multi-day trips, private departures, and corporate retreats. Off-the-shelf booking tools couldn't handle the product's complexity: group reservations with per-traveller occupancy logic, tour-operator financial flows, and a live operational layer for trip staff in the field. Working end-to-end with our partners at Airnauts, we built two tightly integrated products, a photography-led public booking experience and a bespoke admin system, giving Equinox Explore the infrastructure to operate at the standard its brand demands.

Together with Airnauts, we created the platform from the ground up, covering discovery, architecture, full-stack development, integration, and ongoing support. The public site was built to read as a curated editorial collection, with a booking engine handling the complexity of group travel invisibly behind it. The admin system gave the Travel & Retreats team full control over trip lifecycle management, financial reconciliation, and field operations, each layer purpose-built for the demands of high-touch luxury travel.

Understanding what really mattered for Equinox Explore
Every booking on Equinox Explore isn't a single transaction. It's a composite reservation across multiple travelers, each with distinct requirements, preferences, and payment responsibilities.
Challenge
A standard booking engine handles one traveller per reservation. Equinox Explore's model required a party of guests, each with their own occupancy choice, bed preference, dietary data, EQX member ID, and add-on selections, all tied to a single financial ledger. Adding or removing a traveller had to trigger a full price recalculation, with occupancy validation running in real time to catch room-combination errors before they reached the payment step.
Solution
We built a multi-traveler reservation engine where each guest is an independent object within a shared reservation. Occupancy type, add-on selections, and profile requirements are managed per traveller, with automatic recalculation on any change. Validation logic catches occupancy conflicts before the reservation progresses, keeping the complexity invisible to the guest while giving the operations team a complete, accurate record from the moment a booking is confirmed.

Our Unique Approach: Purpose-Built for a Product That Couldn't Compromise
Off-the-shelf platforms were evaluated and ruled out before we started. The product Equinox wanted to build, editorially led, operationally rigorous, and integrated with their global member graph, required every layer to be designed from scratch. Working with Airnauts as equal delivery partners, we took joint ownership of the entire stack: discovery, system architecture, design, development, and post-launch support.
The public experience was designed around a single constraint: sell wonder first, convert second. The booking widget travels with the user through long-form trip storytelling, surfacing pricing and availability without pulling them out of the narrative. The itinerary request mechanic, gating detailed logistics behind a form, functions simultaneously as a lead qualification tool and a soft commitment step, feeding the CRM before a reservation is ever made.
On the admin side, we modeled the system around the actual workflows of a boutique tour operator. Trip lifecycle states, add-on template libraries, cancellation policy calendars, and role-based access weren't features added late. They were the architecture. The result is a system that grows with the business: new trips, staff configurations, and reporting needs can all be accommodated without structural rework.

We mapped the operational requirements of high-touch group travel before any design or development began. By analysing how guests discover and book experiences, and how operators manage trips from listing to close, we identified the structural gaps the platform needed to fill. That research defined the system architecture and ensured every subsequent decision served a specific operational need.

Trip lifecycle management, financial reconciliation, waitlist conversion, and field operations all run through a single system. The public experience gave the Travel & Retreats team an editorially credible channel to reach Equinox's existing member base, with itinerary request data feeding directly into the CRM as a pre-booking demand signal.

Editorial-First Booking Experience
The public site was built to read as a curated collection, with long-form trip storytelling, cinematic imagery, and a booking widget that travels with the user through the narrative. Pricing, availability, and deposit information surface contextually, keeping the commercial layer subordinate to the experience being sold.
Multi-Traveller Reservation Architecture
Each reservation is a composite object with independent per-traveller records covering occupancy, add-ons, profile requirements, and payment data. The engine validates room-combination logic in real time and recalculates the full reservation cost on any change, giving admins an accurate ledger from the first booking action.
Financial Ledger and Payment Controls
The admin system provides a complete financial view of every reservation: deposits, balance dues, ad-hoc charges, manual discounts, and refunds, tied to a cancellation policy visualised as a calendar timeline. Admins can take partial payments and process refunds at any point without leaving the reservation record.
Role-Based Operational Access
Six access levels govern what each team member can see and edit across the system. Trip staff receive a scoped interface showing only their assigned trip's itinerary, traveller profiles, and logistics, with no exposure to financials or other trips. Updates from the admin push to the guide view and guest dashboard in real time.

Equinox Explore launched with a platform capable of handling the full complexity of luxury group travel from a single system. The editorial public experience gave the brand a credible channel that matched the standard of their core fitness offering. Every operational layer, from first itinerary request to post-trip reconciliation, was accounted for at launch.
Looking Forward: A Platform With Room to Grow
The platform's architecture was designed to grow without structural rework. New trips, departures, and add-on configurations can be added through the admin without development input. The dynamic SEO infrastructure generates structured data at the page-template level, so every new trip listed extends the platform's search footprint automatically. As Equinox Explore's trip inventory grows, both the operational system and the public-facing discovery experience scale with it.
